About the Opportunity
We are partnering with a highly respected organization in Canada's performing arts sector to identify an exceptional Executive Assistant who will serve as the trusted right hand to a prominent senior leader.
This is not a traditional administrative role. The successful candidate will become a strategic partner, helping manage priorities, protect executive time, coordinate critical initiatives, and ensure seamless day-to-day operations in a fast-paced, high-performance environment.
The ideal candidate is polished, professional, quick-thinking, and highly resourceful. They possess exceptional judgment, strong communication skills, and the ability to remain calm and composed under pressure. They are confident managing competing priorities, anticipating needs before they arise, and representing senior leadership with professionalism and discretion.
Key Responsibilities
Executive Support & Strategic Coordination
Manage a complex and evolving calendar, ensuring priorities are aligned with organizational objectives.
Coordinate meetings, travel, schedules, and executive correspondence.
Anticipate challenges and proactively identify solutions before issues arise.
Act as a gatekeeper and trusted advisor, helping protect executive time and focus.
Prepare presentations, reports, briefing materials, and meeting documentation.
Relationship & Communication Management
Serve as a professional point of contact for internal and external stakeholders.
Draft and manage communications on behalf of senior leadership.
Ensure timely follow-up on key initiatives, meetings, and action items.
Build strong relationships across departments, partners, sponsors, and community stakeholders.
Project & Event Coordination
Support planning and execution of performances, events, meetings, photoshoots, presentations, and special initiatives.
Coordinate logistics, timelines, vendors, and project deliverables.
Track progress on multiple concurrent projects and ensure deadlines are met.
Marketing & Organizational Support
Assist with communications, social media coordination, content collection, and promotional activities.
Support organizational initiatives that contribute to growth, visibility, and community engagement.
Maintain confidential records, files, and sensitive information.

Preferred Qualifications
Minimum 3 years of experience supporting senior executives, business leaders, or high-profile professionals.
Post-secondary education in Business Administration, Communications, Marketing, Arts Administration, or a related field is considered an asset.
Experience with event coordination, stakeholder management, communications, or marketing is beneficial.
Proficiency with Microsoft Office, Google Workspace, and digital collaboration tools.
